12 Cloud Payroll is a fully comprehensive cloud based payroll system. It is suitable for any size of company, from one with only one employee to one with thousands of employees. RTI eReturns and eReceipts are provided as part of the system.
The free payroll wherever mentioned is applicable only to companies with 9 or less employees. Any company with 10 or more employees will be subject to a charge of £6+VAT per employee per year, payable at the end of the tax year.

The counting of employees for invoicing is based on the total number of employees you have in a tax year.
For example, assuming you have 9 employees at the start of the year, however, in the middle of the year 3 employees quit and the company recruits 2 replacements. Then in this instance we will count you as having 11 employees in that tax year and each of the 11 employees will be charged for at a rate of £6 each for that tax year.
Note: We will only invoice you and ask you to pay us once a year once you have completed the Final FPS / Final EPS process, usually in April (End of the Tax Year). You will never need to pay us if you never use the system to process the Final FPS / Final EPS regardless of the number of employees you have. All prices exclude VAT
The Final FPS / Final EPS return is the same as the usual regular FPS / EPS return, except that you need to indicate that this is the Final FPS / Final EPS, that is the only difference. Without completing the Final FPS / Final EPS you will not be able to move to the new tax year.
Payroll Functions - Paid and Free 12 Cloud Payroll: The pay run functions and the eReturn functions will be exactly the same for those who need to pay for the service and those who are using it for free. However, both will have to view some advertisements placed on our website or in emails at our discretion. The advertisements will not affect your private data as they are open common adverts, not targeted adverts.
Test Use is FREE: Our Trial RTI does not allow you to e-file any RTI returns. However, you may migrate all your employees on to the system and try out all of the calculations without making any returns. At the end of the tax year you simply click on START NEW TAX YEAR and tell us that your account was set up to try out our services and all the calculated data was just trial data, then we will move you to the new tax year without any charges.

Price for Pay Bureau: If I have 20 clients - 2 have 10 employees, 1 has 12 employees and 17 have between 1 and 9 employees
The total annual cost will be

Price for Pay Bureau: If all 20 clients only have between 1 and 9 employees. The total annual cost will be 20 x 9 x 0 = £ 0.00
Good News: You can run your entire pay bureau for free if all your clients only have between 1 and 9 employees.
Other costs: The only other cost you have to bear is viewing some adverts similar to other free services, such as free e-mail or free search engines etc. However, these adverts will not affect the running of your payroll and will certainly be much less annoying than those adverts which interrupt your viewing of a good film on TV.
